Race Day Resources
First wave starts – 0800 hrs on Saturday & Sunday.
Estimated Finish – 2200 hrs (for the last athlete crossing the finish line)
You can and should issue penalties within your station where required. Please look up the exact penalties in the rulebooks (note: there is now no difference between the single and doubles division).
For workstations 1-7, ensure you give the athlete one warning before distributing a penalty. A second offence results in a penalty i.e. it does not have to be the same movement standard breach, just a cumulative total.

Athlete Number
These are written on the forearm of each racer.
131003 stands = their start wave is at 13:10 hours exactly – i.e. the first 4 numbers always reflect the start time.
Note: The last two numbers are irrelevant unless you’re from the Timing Team 😉
Running and Workout Order
The running course is set around the workout zone (RoxZone).
Please note:
Start to Ski: Past 1 In on 2
Ski to WB: Past 2 in on 3
If an Athlete misses a lap(s), they will get a 5 minute penalty per lap. This will automatically be added through the timing system.
If an Athlete misses the workout order, they can still continue with the race and make up for the missing station, however a penalty of 3 minutes will be issued (through the timing system).
All athletes are responsible for their race e.g. counting the run laps, sled laps etc.
Elimination from the Competition
If an athlete pulls out of the race or is not able to continue (their decision), please take a photo of their start number on the forearm and send the picture with the caption “DNF” (Did Not Finish) to the WhatsApp Group Chat.
Note: PLEASE ALWAYS TAKE THEIR TIMING CHIP. They can keep the strap but we need the timing chip back!
Timing Issue
Should there be a timing issue at your workstation, (e.g. there is not enough equipment/machines available and an athlete has to wait), please start a stopwatch and make sure to note the time and start number of the athlete. Send the time along with a photo of the athlete’s number (forearm) to the WhatsApp Group Chat.
Event Details
As a Head Judge you are assigned to one workstation at a time (see tables below).
Please read carefully through the rules and regulations of your designated workstation as it will be entirely in your charge. This includes ensuring that the weights and/or damper settings are correct, that the movement standards are met, and that the judges of your station are briefed/managed.

The Head Judges live (online) briefing will take place on:
Monday of Race Week at 19:00 – 20:00hrs – this is a mandatory Pre-Race Briefing (but it will be recorded)

Head Judges will receive a radio for any emergencies. As part of the Sports Team you will operate on Channel 2 // this will be permanently monitored by the Race Director(s).
In case of an Emergency, please clearly say ‘MEDIC, MEDIC, MEDIC’ and state the code (Red/Yellow) and the location. Please do not shout – we know it’s loud in the race hall but the microphone works best when you ‘speak’, as opposed to ‘shout’.
Besides that, all Head Judges will communicate through their phone for any other enquiries or problems using the WhatsApp Group. This is a free app, please download this app prior to the competition.
You
Lunch and Dinner will be provided at the volunteer rooms at set times. As a team you must manage yourself and your judges to take breaks during this time to eat and return to the station. The rotational judges can assist with this.
Note: The two options we have for food is vegetarian and halal. But please know that the food outlets are provided by the venue – so if you have special dietary requirements/allergies, please self cater.
Your Judges
As a Head Judge you are responsible for your judging team break-times. Please be responsible and make sure that the workout station is always covered with enough Judges.
You will receive an official Head Judge Shirt so the participants can ID you.
Please bring non-branded black bottoms and black or neutral non-branded trainers.
Note: Small branding on leggings and shorts is fine – just not NIKE (for example) splashed down an entire leg.
We recommend you bring a small hip bag to wear when judging for small items. Bags cannot be taken down to the workout stations, they must be left in the race crew room.

NOTE 1: There are dedicated Rotational Head Judges who will provide cover for you at pre-determined times throughout each shift.
Please ensure there is always enough head judges at the station before you leave for food or a break.
If they have not arrived at the workstation within 15 minutes of the assigned time, contact the WhatsApp group and Race Director(s).
NOTE 2: The events team will bring down the incoming head judges and judges during the shift change over.
Your role as Head Judge includes briefing the inbound Race Crew and the incoming Head Judges.

Reporting Procedure:

Race Stoppage vs. Evacuation

Race Stoppage: Halting all competitive activities, keeping participants in a controlled environment until it’s safe to resume.

Evacuation: Immediate and orderly removal of participants, staff, and spectators due to a severe or imminent threat.
Race Stoppage Scenarios:

Decision-Making:

Event Director: Makes the final decision, considering input from the race director, medical team, and venue representatives.

Types of Race Stoppage:

Temporary: Short delay (e.g., venue overheating) with wave start breaks if needed.

Total: Full race stoppage (code Brown). All course marshals, staff, and volunteers must stop participants. Emergency services have access to the course.
Communication and Execution:
-
Event Director: Communicates stoppage decision via radio, instructs the DJ to stop music, and guides emcees to notify participants.
-
Restart Procedure: A 3-minute countdown (30-second intervals, last 10 seconds), followed by music to signal race resumption.
Time-of-Day Considerations:
-
Early Morning (before 12 pm): Restart promptly after a safe stoppage.
-
Midday to Early Afternoon (12 pm – 3 pm): If stoppage is <30 minutes, restart promptly. If >45 minutes, adjust schedule or shorten waves.

Late Afternoon (after 3 pm): For stoppages >30 minutes, consider modifying or canceling remaining heats.
Race Resumption:

Participants return to the workstation or area they were at when the stoppage occurred.

Workstation: Restart from where they left off.

Run Course: Re-enter from the adjacent start tunnel.

Rox Zone: Re-enter at the designated arch.

Timing Adjustments: May not be feasible for all races, but the timing team will account for delays.
Award Ceremonies and Podium:

Post-Evacuation: Award ceremonies are canceled. Final results and podium winners will be determined and communicated after timing adjustments.
Race Termination:

If the race is terminated after evacuation, the Event Director will communicate the decision to participants, staff, spectators, and senior leadership, and manage media inquiries with emergency services’ guidance.
